Our client is a Hong Kong-based hedge fund seeking an Administrative Assistant to support office administration and management, as well as provide secretarial support to senior management, including meeting coordination, travel arrangements, and other administrative tasks.

The Role

• Office Administration: Manage daily office operations, including coordinating vendors, maintaining office supplies, and ensuring a smooth and well-organised working environment.

• Operations Coordination: Support general office management tasks and help maintain efficient day-to-day operations across the team.

• Secretarial Support: Provide full administrative support to senior management, including handling travel bookings, expense claims, and general coordination.
• Travel & Scheduling: Arrange and manage complex travel plans, including flights, accommodation, visas, and meeting schedules, often with tight timelines.
• Calendar Management: Oversee both business and personal calendars for senior leadership, coordinating meetings, appointments, and engagements to ensure efficient time management.

Your Profile

• Degree holder
• About 3 years of experience in administrative or executive support roles
• Strong organisational skills with the ability to handle multiple tasks and priorities
• Detail-oriented with a high level of accuracy and reliability
• Ability to work in a fast-paced environment and adapt to changing needs
• Good communication skills and a professional approach when dealing with stakeholders
• Discreet and trustworthy in handling confidential information
